What is Single Sign on and what is its advantage?
Singe Sign On means that you can access everything you are/have been/will be doing with CEEPUS II, AHplus or any other program that works with our technology with only one user name and password. Always. No need to remember individual passwords and no need to look up different sites. All the information is always at your fingertips.
2)
My username does not work.
Probably you are spelling it differently from the version you used in the registration. Please note that if you have used special characters with the registration you have to use them always. The best way is to just copy in the user name you receive from the server.
The same accounts for your password (until you change it).
3)
My password does not work.
Probably you have not copied it correctly. Just use cut and paste to be on the safe side.
Registration
1)
Why are there 2 steps of network registration?
Because first you register as a person at an institution and only then you register for a network.
This procedure allows us to provide users with immediate access and to avoid unwanted double entries of personal data.
2)
When I try to enter the email address a second time, the system does not take it. Why?
You must use exactly the same spelling (case sensitive) as the first time. We ask you twice to make sure your email address is entered correctly.
3)
I am working in an International Relations Office (IRO) and I want to registrate for an academic teacher. What shall I do?
Please note that each person has to enter their personal data and personal email as a first step. Otherwise the Single Sign On System will not work. As IROs operate on a different organizational level than teachers and are scheduled to receive their own rights and roles later, for this application round please proceed as follows:
If you have already registered as a person, just leave the registration be. No need to cancel it.
BUT: get the teacher in question to register as a person. Extremely important: the correct email address OF THE TEACHER must be entered. Suggest to the teacher to forward the CEEPUS messages to you.
As soon as the teacher has received his/her ID and pw, he/she can make this available to you as well and you can then proceed to enter data as his/her "alter ego".
Disclaimer: in this case you can safely confirm the teaching part because you enter these data on behalf of the teacher.
Access: note that both teacher and IRO can enter with the same access data.
4)
On the last page of the registration process the following error message is displayed: "Probably we cannot send an email to you. We have received the following error: ...". What shall I do?
This error message is merely a piece of information. It will not keep you from registrating. It can, however, indicate that we cannot send you a registration mail. Please take down the error message and proceed with the registration. If you don't receive a registration mail please contact Online Support.
The following error message is generally unproblematic: 451 Exploitable Server
Switching Roles
1)
I cannot see and access my networks anymore/I don’t see my mobility application any more.
You just have to switch to the correct role. Look at your desktop, at its top right corner. Right under name and date you see your current role (e.g. "mobility" or "network"). If you click on it, a pull down wit all your roles is displayed. Simply click on the role you want to use now and all the information related to this role will be displayed.

Applying for a CEEPUS grant
List of available destinations
1)
I only see a few networks on my mobility desktop and my desired destination is not among them. I thought I could go everywhere in the CEEPUS countries.
You only see networks that your university is participating in. Where you can apply for depends on whether your university has agreed on exchange with your desired host destination.

Which universities are eligible for CEEPUS?
Each academic year each CEEPUS country is nominating their list of eligible universities.
Creating and submitting a mobility application
1)
I am network coordinator/partner. Can I create and submit mobility applications for my students?
NO, please DON'T DO THAT. Each student has to register first personally to obtain user name and password and then register for mobility. You can see all applications on your network desktop.

What is the difference between Network Mobility and Freemover Mobility?
3)
As a student, how many semesters do I have to have completed before I can go abroad with CEEPUS?
You need 2 completed semesters of a regular course of studies to be able to go abroad with CEEPUS.
4)
What is my first step to obtain a CEEPUS mobility grant?

CEEPUS network at your University. You may also have a look at the list of our

Can I apply for a CEEPUS grant if I do not have the citizenship of a CEEPUS member state?
Yes you can. You only need to upload a “equal status document” that proves you have the same rights as a citizen in your country of residence. You might try to upload a document by your university that you have been accepted as a regular student for a whole course of studies.
The following regulations apply for holders of "equal status" documents, refugees and stateless persons and only applications for a CEEPUS activity defined in the CEEPUS III Agreement and its Work Programme are eligible;
• no double grants shall be allowed (i.e. simultaneously receiving two grants in the host country)
• student applicants should submit a proof of full-time student status (upload document)
• proof of "equal status" should be required (upload document)
• students should be required to apply to the National CEEPUS Offices in the country where they hold full-time student status
• double citizenship: applicants should be required to decide on the status used when first lodging their application and use it throughout the procedure;
• teachers applying for a CEEPUS grant should be employed full-time by a university and included in a CEEPUS activity.

Which categories of CEEPUS mobility grants are there?
Student: select this if you are a student and you want to stay for AT LEAST 3 months
Short Term Student: select this if you are a student and you want to stay for LESS than 3 months, e.g. for a regular excursion (min. 10 days) or if you are a thesis student
Teacher: if you are a teacher, please always choose ONLY THIS category, no matter for how long you want to stay
Short Term Excursion (min. 3 days): select this if you are a student and you want to participate in this special activity

How long will it take for my mobility application to be processed and how do I know the current status of my application?
The current status of your grant is indicated on the cover page of your mobility application. The NCO of the host country will usually need between two weeks and a month to process your application.
9)
As a teacher, can I apply for a CEEPUS research grant?
There are no teacher grants without the obligation to teach or supervise for 6 hours per work week.
10)
As a teacher, where do I enter the list of my planed teaching and/or supervising hours?
Please enter this information in the section "Motivation" at your CEEPUS mobility application.
11)
Freemover application - when willl my application be processed?
In approx. 14 days - 1 month. If you have questions, please contact the National CEEPUS Office of your host country.

What do I have to write under "Field of Study"?
Students: the name of the field/course of studies you are enrolled for at your HOME institution.
Teachers: your subject area of teaching/research

Teaching hrs

What exactly do I have to do in order to obtain a teacher scholarship?
You will have to teach/supervise 6hrs for each 5 workdays you spend in the host country. You will have to enter the exact title and respective hrs and if possible also the ECTS credits of your teaching activities in your mobility application prior to receiving the grant.
Eligible persons for a CEEPUS grant
1)
Who is eligible for a CEEPUS grant?
Students and faculty members (i.e. the teaching, research and/or artistic staff) of an eligible CEEPUS University that are also citizens of a CEEPUS member state. Students need to have completed two semesters of a regular course of studies by the time they are being exchanged with CEEPUS. Teachers need to teach or supervise 6 hours per work week (5 days) during their exchange.
Note: grants for studying in one´s home country are never permitted!

Uploading documents

Which documents do I have to upload to get a grant?
Freemover TEACHERS do NOT have to upload any documents for the time being BUT they need to enter their planned teaching/supervsior assignments in the field "Motivation" of the application.
2)
Freemover Letter of Acceptance by the host instiution - do I need to stay as long as indicated there?
Techncially the Summer Term at many universities is defined from 1.2. - 31.8 or similarily. So this period is often entererd in the Letter of Acceptance - However, the concrete duratiion of your stay is decided by the number of months your host NCO will award.

Where can I find my mobility report?
Please log in on the CEEPUS website.
Click on "Manage your CEEPUS mobility applications".
Choose the correct academic year and open your application.
Click on "MOB Report" next to "Content".
Click "Edit" to edit the report. You can fill in your report now.
Click "Save" to complete your report.
2)
I have already filled in a national report demanded by my National CEEPUS Office, is this not enough?
No, sorry. You need to fill in the general online report to fulfill your obligations as CEEPUS scholarship holder.
3)
Why can´t I access my report?
You need to make sure of the following:
o) you open the - already mobility application - of the correct academic year
and
o) your application has to be in the correct status, i.e. “accepted by applicant”.
